After School and Holiday Programme Terms and Conditions

Oscar at Halswell provides a safe, organized, fun and above all, quality out of school care programme, which caters for children’s different ages, gender, cultural and religious backgrounds while attempting to encompass individual needs and interest. Staff are carefully selected to meet the high standards of programme delivery set by the programme Supervisors and Committee.

After School: 3.00pm – 6.00pm
Holiday Programme: 8:00am – 5:30pm
ENROLMENT
FEES
Afternoon: $27.00 per session per child. A 15% sibling discount applies for the second child (afternoons only). Please note, the discount does not apply if you are receiving a WINZ subsidy.
Holiday Programme: Our holiday program includes a mix of in-days and out-days.
In-Days are spent at our main holiday program location, where all activities take place on-site.
Out-Days are special trip days where we visit an external venue. The out-day fee covers any additional costs such as entry fees and transport.
Holiday Programme fees must be made in full at the time of booking and are separate to term accounts. Only agreements made prior to booking the holiday programme are exempt from this arrangement.
A late fee of $2.00 per minute from your booked time of either 3:00pm or 5.30pm during the holiday programme and 6pm during term time, this is automatically charged through Aimyplus.
OSCAR term accounts are issued at the beginning of each term and payment is due within 3 weeks of the date of issue, or by regular automatic payments, ensuring that the invoice is paid in full by the end of each term.
Fees are reviewed periodically, with at least two weeks’ notice of any changes provided to parents/caregivers.

Families are welcome to make weekly/fortnightly payments with prior confirmation. If you do want to pay in instalments, please email halswelloscar@gmail.com once you have received your first invoice. If a WINZ subsidy applies, the parent/caregiver portion of fees must remain current and be cleared each billing period. Any trouble meeting these obligations must be notified to the OSCAR Administrator immediately.
If payment is not received by the end of the next billing period, your child’s place in the programme may be forfeited.
Parents/caregivers are liable for all costs incurred by OSCAR in recovering outstanding amounts, including solicitor-client costs.
CANCELLATIONS
Credits will be given for absences of more than five consecutive days, up to a maximum of ten days (per term) provided written notice is received at least two weeks prior to the absence.
For absences beyond ten days, normal fees apply to hold your child’s placement.
Due to high demand and the cost of staffing, we cannot hold positions open for longer than the 10 day period.
OSCAR will charge for all school days allocated at the beginning of a school year. No refunds will be processed due to closures (e.g., weather conditions, teacher only days (not already allocated at the beginning of the term), strike days, covid closures)
TERMINATION
If you no longer require Oscar care,two weeks’ notice is to be given in writing: halswelloscar@gmail.com.
Fees remain payable during the notice period.
The OSCAR Committee reserves the right to suspend or terminate attendance if deemed necessary.
ABSENCES
Once enrolled, children are expected to attend unless you notify us. Please text or call 0274 181 786 to advise of any absences. If your child does not arrive and we have not been informed, staff will take immediate steps to locate them.
Non-attendance will still be charged at the normal daily rate.
COLLECTION OF CHILDREN
If someone not listed on your Enrolment Form arrives to collect your child, we are obliged to retain your child until your consent is confirmed. Please notify us in advance to avoid delays or confusion.
SIGNING YOUR CHILD IN AND OUT
It is essential that children are signed in and out each day using the programme tablet by an authorised contact person.
Children are not permitted to sign themselves in or out under any circumstances.
This process is a requirement of the Ministry of Social Development (MSD). OSCAR’s duty of care begins once children are signed in and ends when they are signed out at the end of each day.
EMERGENCIES
Our staff are trained in emergency procedures. In a serious accident, staff will contact you and may take your child to the nearest medical facility.
In a Civil Defence emergency, staff will remain on site until all children have been collected.
CHILD SAFETY
The programme follows a comprehensive Child Protection Policy, including reporting of any suspected abuse to Oranga Tamariki.
BEHAVIOUR MANAGEMENT
We use positive behaviour management techniques that promote self-esteem, safety, and respect.
If a child’s behaviour is consistently disruptive or harmful, parents will be asked to remove them from the programme.
The cost of repairing accidental or intentional damage caused by a child may be added to the family’s account.

OSCAR at Halswell is an Incorporated Society. All enrolled families are members and are warmly encouraged to attend meetings or join the Committee.
GENERAL CONDITIONS
The parent/caregiver understands that the programme supervisors will exercise due care, but OSCAR at Halswell is not liable for any injury, loss, or damage to property.
The parent/caregiver accepts responsibility for their child’s behaviour.
The parent/caregiver, as a member, agrees to make their child aware of the OSCAR Programme rules.
The parent/caregiver understands and authorises any medical attention urgently required at the parents/caregiver’s cost.
The parent/caregiver understands they will notify the administrator of any changes to enrolment information immediately.
OSCAR at Halswell has a maximum of 40 children per afternoon session.
Parent/caregiver will be advised when a place becomes available.
OSCAR reserves the right to recover costs for any damage to OSCAR or school property.
Fees must be paid in advance or by approved automatic payment arrangements.
Families are members of the OSCAR at Halswell Incorporated Society while enrolled. Membership ceases upon withdrawal or termination.
OSCAR has a closed Facebook group for currently enrolled families. By agreeing to these Terms and Conditions, you consent to your child’s photo being shared within this group unless you advise otherwise. Families are removed from the group once enrolment ends.
PRIVACY ACT 2020
All information provided is necessary for the safe and effective operation of the programme and is stored securely. Personal data is destroyed once your child leaves the programme. The Ministry of Social Development (MSD) and Te Kāhui Kahu may access enrolment records as part of accreditation requirements.
These Terms and Conditions apply to all instances where OSCAR at Halswell provides care for your child.
